Expiry dates and dated lots

Track quantities by expiry date at each location and review what needs attention.

Enable expiry tracking

Turn on expiry-date tracking for products that need it. Inventory groups their quantities into dated lots at each location. Existing stock without a recorded date remains identifiable as stock with an unknown date.

Use the date recorded on the item or its source paperwork. Leaving a date unknown is more accurate than guessing one.

Receive and review dated quantities

Record expiry dates when receiving stock. The product page lists dated lots in first-expired-first-out order, with undated stock last. Check the earliest dates when planning what to use or review next.

When counting or moving tracked stock, review the lots as well as the overall quantity. The sum of the lot quantities should explain the location balance.

Understand what a lot contains

These lots record a date and quantity. They do not carry supplier batch numbers or a separate purchase cost for each lot. Keep any additional traceability records your own workflow requires separately.

Record removals with the appropriate reason so stock that was discarded does not appear as a sale in your reports.
